Job Description
As Purchasing & Logistics Assistant, you will play a key role in keeping our purchasing and logistics operations running smoothly. You will ensure that the materials and components our teams need are ordered on time, that deliveries are properly received and processed, and that outgoing shipments are prepared accurately and efficiently.
Your responsibilities cover the entire operational flow, from placing purchase orders and coordinating with suppliers to checking incoming invoices and preparing shipments for customers and partners. When products are unavailable or delivery dates change, you take the initiative to find suitable alternatives and keep things moving.
In addition to the above, you will also contribute to the smooth day-to-day running of our office by taking care of a range of general and very practical facility and office management tasks.
This is a hands-on role combining practical warehouse and logistics activities with administrative & office-related responsibilities. We are therefore looking for someone who works proactively, takes ownership of their responsibilities and naturally spots what needs to be done. You enjoy bringing structure to day-to-day operations, solving practical problems and making sure things get done without having to be asked twice.
What you’ll do
Purchasing & Supplier Management
- Prepare and place purchase orders (POs) for materials, components and other required goods.
- Monitor order confirmations, delivery dates and outstanding orders to ensure timely delivery.
- Proactively follow up with suppliers regarding delays, missing information or changes in availability.
- Identify suitable alternatives when products are unavailable, discontinued or subject to long lead times.
- Communicate with suppliers to resolve purchasing and delivery issues and maintain an accurate overview of outstanding orders.
- Ensure purchasing information and order records are complete and up to date.
Incoming Goods & Invoice Control
- Receive incoming deliveries, both physically and administratively.
- Check delivered goods against purchase orders and delivery documents, including quantities, product references and visible damage.
- Register incoming goods and ensure that materials are correctly identified, organised and stored.
- Flag discrepancies, missing items or damaged goods and follow up with suppliers where necessary.
- Check incoming supplier invoices against the corresponding purchase orders and delivery information.
- Investigate price differences, incorrect quantities and other discrepancies, and challenge invoices where necessary.
- Follow up on outstanding corrections and credit notes with suppliers and the finance team.
Shipping & Logistics
- Prepare outgoing goods for shipment, ensuring that all required information and documentation is complete and accurate.
- Create shipping labels and arrange collections through courier services and other transport providers.
- Prepare the necessary shipping and export documentation, including commercial invoices, packing lists and customs documents where applicable.
- Coordinate shipments within the EU and to destinations outside the EU, taking into account applicable shipping and export requirements.
- Track outgoing shipments and follow up on delays, missing documentation or other transport-related issues.
- Coordinate with internal teams to ensure that goods are ready for dispatch when needed.
- Identify practical improvements to purchasing, receiving and shipping processes to increase efficiency and reliability.
Office & Facility Management
- Ensure that the office is well organised and that everyday supplies, including coffee, drinks and office materials, are sufficiently stocked.
- Manage incoming and outgoing mail, parcels and deliveries, ensuring that they reach the right colleagues or recipients.
- Monitor office and facility-related issues and report maintenance needs, defects or damage to the building owner or relevant service providers.
- Coordinate repairs, maintenance visits and other facility-related interventions where necessary.
- Liaise with external suppliers and service providers for office-related needs.
- Keep shared office areas and practical facilities organised and functional.
- Take initiative in identifying and addressing small operational issues before they become bigger problems.
Your profile
We are looking for someone who is organised, proactive and hands-on, with a strong sense of ownership and a practical approach to problem-solving.
You have:
- At least 5 years of relevant professional experience in purchasing, logistics, supply chain, warehouse administration or a comparable operational role.
- Excellent knowledge of Dutch and English, both written and spoken)
- Strong administrative skills and an eye for detail, particularly when handling orders, delivery documents and invoices.
- The ability to organise your work independently, set priorities and follow up on outstanding tasks.
- A proactive mindset: you identify what needs attention, anticipate potential issues and take action without waiting for instructions.
- A solution-oriented attitude and the ability to find practical alternatives when things do not go according to plan.
- The flexibility to switch between administrative tasks and hands-on operational work throughout the day.
- Confidence in communicating with suppliers, couriers, colleagues and other external contacts.
- A reliable and structured approach, with a strong focus on accuracy, follow-up and getting things done.
- A willingness to take ownership of both the bigger picture and the smaller practical details that keep an organisation running smoothly.
You are comfortable working at a desk when the task requires it, but you are equally happy to receive deliveries, check goods and take care of practical logistics activities. You understand that a well-functioning operation depends on both accurate administration and effective execution.
Given the practical and on-site nature of this role, you live within maximum 30 minutes’ driving distance of our workplace.
Experience with purchase order systems, ERP software, courier platforms and international shipping documentation is an advantage.
Offer
- A fulltime or an 80% part-time position, with a fixed day off other than Wednesday, to be agreed upon.
- A role with real responsibility and a varied combination of purchasing, logistics and office management.
- The opportunity to contribute directly to the smooth operation of an innovative and growing technology company.
- A collaborative and informal working environment with short communication lines.
- Room to take initiative, improve processes and make the role your own.
- A competitive salary package in line with your experience.
